For Employees

What is Earned Wage Access?

EWA allows you to access a portion of your already-earned wages before the regular payday. This helps with unexpected expenses without needing external loans.

Checking Your Eligibility

Before applying, verify:

  • You have worked days in the current pay period
  • Your earned amount meets minimum threshold
  • You haven't exceeded maximum EWA limit
  • Your organization has EWA enabled

Applying for EWA

  1. Go to HR → Earned Wages (/hr/earned-wages)
  2. View your available balance:
    • Days worked this period
    • Estimated earnings
    • Amount available for advance
  3. Click Apply for EWA
  4. Enter requested amount (within available limit)
  5. Review terms and conditions
  6. Submit application

EWA Limits

Typical limits include:

  • Percentage cap - e.g., up to 50% of earned wages
  • Maximum amount - e.g., RM1,000 per request
  • Frequency - e.g., once per pay period
  • Minimum service - e.g., 3 months employment

Limits vary by organization policy.

Tracking Your EWA

View your EWA status:

Status Meaning
Pending Awaiting approval
Approved Ready for payment
Paid Amount disbursed to you
Rejected Application denied

EWA Repayment

EWA is automatically deducted from your next payroll:

  • Full amount deducted on payday
  • No interest (typically)
  • Appears as deduction on payslip

For Managers/HOD

Reviewing Team EWA Requests

  1. Go to HR → Earned Wages (HOD view)
  2. View pending requests from your team
  3. Review each request:
    • Employee name
    • Requested amount
    • Available balance
    • Current pay period earnings

Approving EWA

  1. Review the request details
  2. Verify employee eligibility
  3. Click Approve or Reject
  4. Add comments if needed

For HR Admin

Processing EWA Requests

  1. Go to HR → Earned Wages (/hr/hr-earned-wages)
  2. View all organization EWA requests
  3. Process requests:
    • Review eligibility
    • Verify calculations
    • Approve/reject
    • Process payments

EWA Payment Processing

  1. Approved EWA requests queue for payment
  2. Use Payment Dialog to process disbursement
  3. Record payment method and reference
  4. Mark as paid

Manual EWA Entry

For exceptional cases:

  1. Click + Manual EWA
  2. Select employee
  3. Enter amount and details
  4. Process approval workflow

EWA Settings

Configure EWA policies:

Setting Description
EWA_AS_SALARY_PAYMENT Deduct EWA from salary
Maximum percentage Cap on earnable amount
Maximum amount Absolute limit per request
Processing fee Fee charged for EWA (if any)

EWA Integration with Payroll

EWA repayments in payroll:

  1. Approved EWA amounts are recorded
  2. During payroll processing, EWA deducted
  3. Appears on payslip as deduction
  4. Net pay reduced accordingly

Attendance with EWA Report

Special report combining attendance and EWA:

  1. Go to HR → Attendance Report with EWA (/hr/attendance-report/ewa)
  2. View combined data for analysis

EWA Calculation

How Available Amount is Calculated

Days Worked × Daily Rate × EWA Percentage = Available EWA

Example:
15 days × RM150/day × 50% = RM1,125 available

Factors Affecting Availability

  • Days worked in current period
  • Unpaid leave reduces available amount
  • Previous EWA reduces available balance
  • Policy caps may limit final amount

Common Questions

Q: Will I be charged interest?

Typically, EWA has no interest as it's your own earned money. Check with HR for your organization's specific policy.

Q: How quickly will I receive the money?

Processing time varies:

  • Some organizations: Same day
  • Others: 1-3 business days
  • Depends on approval and payment processes

Q: Can I cancel my EWA request?

If still pending, you may be able to cancel. Once approved or paid, cancellation may not be possible.

Q: What if I leave before payday?

EWA will be deducted from your final settlement pay.

  1. Use sparingly - EWA should be for genuine needs, not regular spending
  2. Plan ahead - Remember EWA reduces your next paycheck
  3. Check balance - Verify your available amount before applying
